Frequently Asked Questions - Area 12
Below is a list of FAQs (Frequently Asked Questions) for the June 2012 Area 12 conference being held at the Disneyland Hotel in Anaheim, California. If you do not see an answer to your question, please contact the conference registrar (registrar@areaxii.org).

Conference Structure

How does the track system work?

Determine which days you will attend the conference. You may attend each day independent of all other days. Select a half-day track for each morning and/or afternoon for Friday and Saturday. Your ringing experiences and classes will revolve around your two chosen topics. If you choose to only attend half the day, sign up just for that track.

Registration Questions

How do I register?

This year, we again contracted with Acteva to handle registration and payment. Use your email address to sign up yourself or, if you prefer, your entire choir.  Before you start, read the track descriptions to decide which tracks you would like.  You may find it convenient to print a checklist to write down your selections before going online.  When you register, you will also be asked for your address, phone number and Handbell Musicians of America (formerly AGEHR) member ID or Name.  After you have made your selections, you'll be prompted to select a credit card by highlighting the card's picture AND whether to make a 20% deposit or pay in full.  You will also have the option to sign up or renew your membership. 

Are my meals covered?

Your lunch is covered if you signed up for a track.  You are on your own for breakfast and dinner.   

Can I pay by check?

The deposit must be made by credit card but a check may be used to pay the balance.  Please make the check payable to AGEHR AREAXII and mail it to:

Fees

How much does the conference cost?  Does it include housing?

The cost depends on the number of tracks you would like to attend.  There is a one time Conference Registration fee of $20. One half day track is $60 and includes lunch. The Massed Ring on Sunday is $90 and includes lunch.  Housing is not included. 

For example, if a participant registered for two Friday tracks, two Saturday tracks and the Sunday Massed Choir Ring before February 15, 2012, the cost would be $236.00.  Disneyland Hotel Registration is a separate charge (see housing FAQ below).

here are other interesting classes available on the Thursday before the Conference:  The Master Class on Thursday is $75 and includes dinner. Magic Choir (Conference Choir) is $90 and includes dinner and music.  The Handbell Theater and Reading Sessions are free.

How do I get the good deal on Park Passes?

Area 12 has negotiated discounted Park Passes.  The only caveat is that they must be purchased before 9PM June 26th, 2012.  

When is the Final Payment Due?

The Final Payment is due May 15th, 2012.  Login to the registration website using your email address.  If you don't have your order password, click the button "Send Password" to receive a new one.  A credit card or a check may be used but the check must be made payable to "AGEHR Area XII" and sent to

How much will it cost for a Chaperone to attend? 

The Chaperone must sign up as if registering for a track (name, address, phone number, etc.) and pay the $20 Conference fee and the daily lunch/concert, $32 for each day.  It’s not necessary to sign up for a track.

Why is there a surcharge fee?

For the best deal, our contract with Disney requires a minimum number of room reservations.  If the minimum is not met, Disney will charge higher prices on other parts of the contract.  Therefore, rather than mandating a Disney room reservation, we are charging a modest $50 fee should you decide to stay somewhere other than Disney.  If you live within 50 miles of the Disney Hotel, the fee is waived.

My spouse is accompanying me.  How do I register her/him?

If your spouse does not plan to attend the daily lunch/concerts, there is no reason to register.  However, if your spouse is interested in attending the lunch/concert, sign up your spouse as if you registering a ringer (name, address, phone number, etc.).  Your spouse must pay the $20 Conference fee and the daily lunch/concert, $32 for each day.   

How much are the Daily Lunch & Concerts?  Who may attend?

Anyone over the age of 6 may attend by purchasing a ticket online up to two weeks before the start of the conference.  Disneyland has much better age-appropriate events for children under 6.  Please note that everyone of all ages is invited to the Massed Ring Magic Event on Sunday at 3:30 PM.

Spending $32 for a lunch seems awfully expensive?  Why?

This is what the Disney Hotel charges us.  There is no markup.

Discounts

 What types of discounts are available?

One full day (2 half day tracks) receives a discount of $30.  For the Early Bird Special, order three full days at one on-line registration session by February 15, 2012 and receive a 20% discount ($114).  A $20 youth discount is applied on top of any other discounts. 

There will be NO discounts for any tracks after May 15, 2012.

Is there an age cutoff to sign up for the Youth discount? 

Yes, 18 years of age. 

 

Refunds

What is the refund policy?  Who do I contact?

The conference registration fee is $20 and is non-refundable. Cancel before February 15, 2012 and receive a 100% refund excluding the conference registration fee. Cancel before May 15, 2012 and receive 50% refund.  Please contact Kathy Arnold (registrar@areaxii.org) for refunds. 

I changed my mind about signing up for a class.  How do I change it?

I have to leave early on one of the days.  Can I get a partial refund?

Your registration is for the entire track.  There is not a pro-rated fee for partial days.

 

 Housing Questions

How do I sign up for Housing?

As part of the contract, Disney has offered us a very good deal of $175/night excluding taxes at the Disney Hotel which is the same location as the conference.  Each room can accommodate up to 4 people.  It is a separate registration process and is not managed by Area 12.

When is the last day to get the great rate at the Disney Hotel?

June 6th, 2012

How much is Parking?

The hotel reservation site states $15/day for hotel parking.  The amusement park also charges $15/day for a car/motorcycle and $20 for “large vehicle.”  Please contact the hotel reservation site for more information including airport shuttles.

 

Music, Tables, Bell Storage and Track Info

Is the music to be played at Sunday's Massed Ring Magic included with the fee?

No.  You must order the music ahead of time and be prepared to play it when the baton goes up.

What is the music for Sunday's Massed Ring Magic?

All massed ringing will occur on Sunday, July 1st. There will be three massed conductors, each conducting two selections, for a total of six massed ringing pieces.

Is the music to be played at Friday's and Saturday's All Ring Tracks included with the fee?

Yes. Come to the track and pick up the music. 

I signed up for Handbell Theatre.  When will I get my assignment?

Does Tim Waugh's Director Class qualify for certification?

While it will be an amazingly informative and energetic class, it will not qualify for director certification.

Do we bring our own tables?

No, the tables are provided by the Disney hotel and are included in your fee.  The tables are banquet tables either 6' x 8' long, 30" deep, 30" high. 

We are bringing our bells to the Massed Ring.  Where can we store them?

There will be a storage area.

 

Individual Attendees and Auditing

My choir is not attending.  Can I come by myself?  How will I get my assignment?

You may attend any portion of the conference individually.  Friday and Saturday tracks are specifically designed to fit individual needs, so there's no need to register with your choir.  Sunday's Mass Ring is a full day of mass ringing.  We will be placing full choirs in the hall first and then finding spaces for individual ringers.  If you would prefer to bring your own bells and ring a certain assignment, you may do so.  In any case, there will be a staff member that will coordinate all Mass Attack placements.  Please indicate that you would like a place when you register online.

Can I attend without signing up for any particular track?

The tracks are not open for auditing.  However, after paying a one time conference fee, you may attend the daily lunch/concert for $32.  In addition, the Mass Ring concert on Sunday at 3:30 PM is open to the public. 

 

Final Concert

Is the Final Concert free?  What time will it be?

Yes. Sunday, 3:30 PM

How do I get to the conference at the Disneyland Hotel?

There are great driving directions on this website: http://disneyland.disney.go.com/directions/.  For long distance travelers and best pricing, the recommended airport is LAX.  For local travelers the closest airport is John Wayne/Orange County (SNA).
